Clearpace unifies
locations and cuts costs following the installation of an
AltiGen IP telephone system by ComVerge Limited
Customer Profile
Founded in 2002, Clearpace is a major American-owned
software organisation selling the NPbase and NParchive database
technology solutions. Built and proven in the defence industry,
it represents a unique approach to the storage and retrieval
of data. Clearpace’s customers range from multinationals
such as one of the largest defence companies in the world
to specialist solution providers. Clearpace database solutions
maintain an on-line, queryable archive of all business records
whilst cutting the associated costs in half.
Telephony Challenge
Clearpace has three offices in the UK and one in the USA
from where the company services primarily large organisations
with their huge data retrieval requirements. The UK head
office is located in Milton Keynes which has 15 extensions
and it also has a development centre in Gloucester with
15 extensions. The company also has home-based lines and
extensions with employees as far away as Argentina plus
a small office facility in London with a meeting room phone
connected back to the main system at Milton Keynes. There
are over 35 extensions in total.
Installed AltiGen Solution
As this was a green-field company installation, Clearpace
took the decision from the outset to plan for the future
and install a cost-effective telephony solution that would
meet their needs of constant telecommunication between the
various UK offices and also to the US office. They also
wanted to appear as transparent an organisation as possible
to their customers so that they only ever have to dial one
number and never have to worry about whether they should
be calling Milton Keynes or Gloucester. In fact it was Clearpace’s
US partner who recommended AltiGen’s AltiServ IP solution
as they already were using the call processing telephony
architecture technology from AltiGen, a leading manufacturer
of IP telephony solutions.
In the UK Clearpace has 1 AltiGen AltiServ
IP system to serve the two main sites via ADSL connections
at both sites and this has eliminated all call costs as
their calls take place via the IP connection. This also
extends to free calls over an internet connection to the
USA where their USA sales office is based. The company uses
ADSL from Net Services who provide an L2TP connection providing
a “virtual leased line” between Milton Keynes
and Gloucester. Both offices have a Servgate Firewall to
connect to the internet and maintain security whilst allowing
the remote connections from the AltiGen system to home phone
users and remote office locations. About 50% of all calls
made at Clearpace are internal calls both within the UK
and to the USA and the remainder are mostly calls to UK
mobiles.

Benefits, Feedback & Results
It was a very smooth installation taking about half a day
for all the testing to take place and for the physical fitting
of the equipment in the rack. The only delay was waiting
for the internet access and a small problem with the ADSL
link but this was soon fixed. The system is connected to
an 8 channel ISDN30 connection and with the bandwidth available
using ADSL is capable of handling up to 8 calls at any one
time between offices as well.
An immediate benefit to Clearpace of the AltiGen
system was to make use of the cost-saving centralised billing
functionality and similarly the conference calling facility.
This is integral to the AltiGen AltiServ system has also
enabled Clearpace to make cost-savings as there is no longer
any need to pay for external conference call facilities.
According to Jon Teague, IT Manager and Network
Manager of Clearpace, "Since we installed the AltiGen
AltiServ IP system, after an initial familiarisation process,
our telephony is no longer a cost issue for us and we can
spend more time and money on running our business. In our
mobile/distributed organisation it is a solution that is
ideally suited to our needs. Our forecast is that we will
soon see the ROI on our AltiGen telephony investment of
£20,000 due to the savings on our significant call
volumes."
